Job Description: 

The Providence After School Alliance is an initiative of the Mayor of Providence focused on developing a public/private after-school system for the children, youth and families of the city, with an initial focus on middle school youth, ages 11-14. PASA has developed and implemented a middle school system - built around three neighborhood AfterZones - which operate as a community “campus” of exciting and engaging after-school programs for youth ages 11-14 who attend Providence’s 8 middle schools. In addition to building and sustaining this model, PASA works to build the capacity of its public and private partners to meet the high quality standards established for the youth in the community. Most recently PASA has begun implementing a new high school plan to better connect programs and services for youth ages 14-19. To ensure that PASA runs a fast paced, accountable, transparent and supportive intermediary operation on behalf of its many community and public sector partners, PASA is seeking an office and HR coordinator to assist the fiscal director and executive director with the general operations of the organization. Job Responsibilities: 1.) Office Responsibilities: a. Oversees office filing system b. Financial support – prepares payables for general office expenses & files c. Administers payroll and timesheets d. Management of database – supporting office updates e. Coordinates mass mailing and mailing system f. Central phone reception and maintains phone system g. Office duites k. Manages corporate and board files l. Prepares meeting minutes and Board Schedules m. 2.) HR Responsibilities: a. Prepares payroll, ensuring accurate and timely processing b. Keeps track of and documents staff timesheets, vacation and leave c. Maintains all employee files, including personnel files, medical records and I-9 information in accordance with State and Federal regulations. d. Prepare hiring and termination letters and related documentation e. Processes new hire paperwork and conducts new employee orientations f. Maintains Employee Handbook, responds to general questions from employees on policies g. Manages benefits system, health, dental and retirement funds h. Manages Flexible Savings Account program i. Posts job openings, screens applications, performing background checks and ensures all proper information is recorded and tracked j. Ensures compliance with EEO, ADA and ADEA requirements as they apply to applicants k. Responds to and maintains all information related to unemployment insurance claims and workers compensation l. Administers and tracks the annual performance review process. m. Maintains bulletin boards and updates legal posters and other material as needed.

Experience/Competencies Required: 

• Minimum of 3-5 years general office experience • At least 2 years human resources administrative/generalist (employment, employee relations, benefits, etc.) experience • Specific experience in compliance administration, such as workers compensation, unemployment insurance, benefits administration, employee records, etc. required • Experience with payroll or timekeeping systems required • Experience processing payables, maintaining financial reports, etc. • Associates degree or specific coursework in HR or office administration required. BA/BS degree in related field preferred • Knowledge of EEO, ADA, ADEA, and other applicable Human Resource legal requirements • Previous experience in non-profit organization preferred • Human Resources Certificate/coursework or Professional in Human Resources (PHR) certification preferred

Education Required: 

• Commitment to the mission of the organization • Strong computer skills in Microsoft Word, Excel and Access required. • Solid knowledge of HR practices and all applicable federal and state employment, labor, health and safety laws and regulations • Strong communication skills, verbal, written and listening • Effective organizational skills, can juggle multiple priorities, with the ability to quickly assess situations and reprioritize work and schedules accordingly • Strong customer service focus • Exceptional interpersonal skills, works well with all types of people from diverse backgrounds • Detail oriented-ability to maintain accurate records • Self-starter who works well independently as well as part of a team • Demonstrated ability to maintain confidentiality to sensitive information including personnel, payroll, employee relations For more information Please see http://www.mypasa.org/
